What financial bid preparation includes
The required documents differ between works, services and supply contracts. We start with the published forms and summaries, then review the relationship between quantities, unit prices and the total amount. Each component must be presented in the format required for that procedure.
- Bid form and required financial annexes.
- Summaries by category, lot, product or activity.
- Checks of totals, rounding and the treatment of VAT in the documents.
- Alignment with cost estimates and the value schedule, where requested.
Costs to consider before setting a price
A competitive price must be assessed against the contractual obligations. We discuss direct costs and components that may be overlooked: transport, installation, training, consumables, organisation, guarantees or other required activities. We do not set a standard discount from the budget without examining the costs.
Information needed for a verifiable bid
Send the tender documents, required quantities, supplier quotations and cost assumptions. If the price has already been set, we check how it is reflected in the forms. For a consortium or subcontracting arrangement, we also need the agreed allocation of activities and values.
- Bills of quantities and the authority’s financial forms.
- Purchase costs, labour, machinery and transport costs as applicable.
- Supplier quotations and delivery or execution conditions.
- The technical proposal and proposed contract duration.
Checks before submission
We verify that the bid form total matches the annexes, that all required items have been addressed and that units of measurement are consistent. We flag unsupported values and unclear items for the bidder’s confirmation. The financial proposal must be coherent with technical commitments; any activity promised in the technical bid must also be considered in the costing.
Frequently asked questions
Can you prepare financial bids for separate lots?
Yes. We need the requirements and forms for each lot. Documents and values are tracked separately according to the procedure.
Can you review an existing financial proposal?
Yes. We review calculations, forms and consistency with the documents received. Substantiating costs requires the bidder’s information and confirmations.
